1. What is zoom and why do we use it?

Zoom is a website or application that enables you to connect with people over the internet. You are able to see and hear others in the same session as you and interact in a normal conversation with them.

Checklist before organizing a Zoom meeting:

  • Ensure stable connection by either directly connecting your device via an Ethernet cable (best) or to position your working station with close proximity to the WIFI-emitter.
  • Plan a short test session with your EIPA/external contact to go through the script of your presentation to ensure clarity/agreement on transition periods and code of conduct regarding interaction with participants.
  • Make sure that the audio and video capabilities of your device are in working order, the aforementioned rehearsal is a perfect opportunity to double-check how the audio & video is received by a remote audience.

Technical check before starting a Zoom meeting (Audio):


  • Make sure that you have a good quality microphone;
  • Make sure that the relevant microphone is selected under "audio settings" in Zoom - you can select between multiple inputs and outputs in the menu, please make sure that the specific device you are using is selected;
  • Using headset is recommended to mitigate distractions, and echoing audio;
  • Self-testing of sound quality is highly recommended - this can be done by selecting Audio Settings (you can open this menu with the "tick" near your mute button at the bottom left-hand corner of your Zoom interface), and then pressing on "test mic". After this, you will be able to record a short audio segment that will be played back through your audio output.
In cases you expect a lot of background noise around your workstation, we would recommend to set the noise suppression on your microphone from the aforementioned audio settings to high (please keep in mind that setting the noise suppression is highly circumstantial, and we would recommend to follow the microphone testing to adjust the right amount).

Troubleshooting

  • Ensure the microphone is not on mute. If you see the muted Audio icon in the meeting controls, tap it to unmute yourself:
    • If you are still muted, the host may have muted you upon entering the meeting. Ask to be unmuted by sending a chat message to the host.
    • Ensure you have connected your mobile device's audio. If you see the following Join Audio icon in the meeting controls, tap it and select Call Over Internet. If prompted, allow Zoom to access your microphone.
    • Try using earphones with a microphone.
    • Ensure Zoom has access to your device's microphone.
      • iOS: Go to Settings > Privacy > Microphone and switch on the toggle for Zoom.
      • Android: Go to Settings > Apps & notifications > App permissions or Permission Manager > Microphone and switch on the toggle for Zoom.
    • Ensure that no other applications are using the microphone at the same time.
      • iOS: Double-tap the "Home" button to view apps currently running. Swipe up to close an app.
      • Android: Tap the multi-task button (the square icon usually in the bottom-right corner) to view apps currently running. Swipe left of right to close an app.

Technical check before starting a Zoom meeting (Video):


  • In cases that you have multiple cameras available. please make sure that you have selected the relevant video input device from "Video Settings";
  • In cases that your picture looks dark, please select "Adjust for low-light" under "My video";
  • In addition, we would always recommend to set the camera setting to "HD" for higher quality of the video;

  • Troubleshooting
  • For Windows

    1. Make sure that all other programs that utilize the camera are not using the camera or are closed. This may include pre-installed camera applications, other video conferencing software, or websites utilizing your camera.  
    2. Restart your computer.
    3. Uninstall the Zoom client and reinstall the latest version from our Download Center
    4. Visit your device's support and downloads page to update the camera driver:

    Windows 10 has a privacy feature that may block Zoom from using the camera, so be sure to check this feature and how to allow Zoom access to your webcam.

Troubleshooting tips for MacOS
Make sure that all other programs that utilize the camera are not using the camera or are closed. This may include pre-installed camera applications, such as such as Photo Booth and Facetime, other video conferencing software, or websites utilizing your camera.   
Restart your computer.
